Payment, Cancellation and Refund Policy
We understand that plans can change, and we aim to be as flexible as possible. This policy outlines the terms for full, partial or balance payments, cancellations, refunds, rebooking and special circumstances to your wildlife tour booking.
For our all-tour packages the payment, cancellation and refund policy remain same except the reductions in minimum number of booking members. Minium 4 members are required to book Family-Friendly Safari Tour and Corporate & Group Safari Tour.
- Booking Amount:
Customers are required to submit a partial booking amount to secure their booking. The booking charges is typically a percentage of the total tour cost provided by The Wildlinkk Safari. This partial booking amount ensures that customers are committed to the booking and allows The Wildlinkk Safari to allocate resources and make necessary arrangements for the tour.
- Balance Payment:
The Balance or remaining amount of the tour cost must be paid no later than 15 (Fifteen) days prior to the scheduled departure date. In case the customer is failed to do so the booking is treated as cancelled as per the cancellation policy without refunds of the booking amount. This allows The Wildlinkk Safari to finalize arrangements, secure accommodations, and prepare necessary permits or documentation for the tour.
- Payment Methods:
The Wildlinkk Safari accepts various payment methods to accommodate the preferences of our customers. Payment can be made via bank transfer, credit card, or other accepted methods as specified by The Wildlinkk Safari. Customers can choose the most convenient option for them, ensuring a hassle-free booking process.
- Currency:
All payments for The Wildlinkk Safari tours must be made in the currency specified by The Wildlinkk Safari in the quotation or booking confirmation. The currency chosen will depend on various factors, including the client’s location, the tour destination, and prevailing exchange rates. The Wildlinkk Safari reserves the right to adjust the tour cost in the event of currency fluctuations or changes in exchange rates to ensure fair and accurate pricing.
- Invoice:
Upon confirmation of the booking and receipt of the deposit, The Wildlinkk Safari will provide an invoice detailing the deposit amount, remaining balance, and payment instructions. This invoice serves as an official record of the transaction and provides customers with a clear overview of their financial obligations. Customers are responsible for reviewing the invoice for accuracy and notifying The Wildlinkk Safari of any discrepancies or errors promptly. The Wildlinkk Safari will make necessary corrections and adjustments as needed to ensure the invoice reflects the agreed-upon terms and conditions of the booking.
- Customer Cancellations:
To cancel your booking, please notify us at least 72 hours before the tour start date via email. Cancellations are only considered valid once confirmed by The Wildlinkk Safari in writing via email at connect@thewildlinkksafari.com. Refund eligibility depends on the timing of your cancellation.
- Refund Eligibility:
The refund eligibility and amount are subject to the following conditions:
- If the cancellation request is received at least 45 (forty-five) days before the scheduled departure date, clients are eligible for a full refund of the tour cost, excluding Processing Fees, Administrative Fee as per the final invoice provided to the customer.
- If the cancellation request is received at least 30 (Thirty) to 44 (Forty-Four) days before the scheduled departure date, clients are eligible for a 50% refund of the tour cost, excluding Processing Fees, Administrative Fee as per the final invoice provided to the customer.
- No refunds will be issued for cancellations received less than thirty 30 (Thirty) days before the scheduled departure date.
- Refund Process:
Upon receiving a valid cancellation request, The Wildlinkk Safari will process the refund within 14 business days from the date of approval. Refunds will be issued to the original payment method, unless otherwise requested by the client in written mode. Third-party processing fees may be non-refundable.
- Non-Refundable Amount:
The partial booking amount is required to secure the booking which is includes the non-refundable amount consist of Processing Fees and Administration Fees which is non-refundable under any circumstances.
- Rebooking to Your Booking:
If you need to reschedule your tour due to family bereavement or medical circumstances, please contact us as soon as possible to discuss available rebooking options. Rebooking may be subject to availability and additional fees.
In case of medical emergencies or unforeseen health issues preventing you from participating in the tour, please provide medical documentation to support your cancellation request. Refunds or rescheduling options may be available on a case-by-case basis.
- Company Cancellations:
We reserve the right to cancel or reschedule a tour due to unforeseen circumstances, including but not limited to:
- Severe weather conditions
- Safety concerns
- Insufficient bookings (minimum participant requirements not met)
In case of a company-initiated cancellation, you will be offered:
- An alternative tour date at no additional cost, or
- A full refund of the amount paid
- No-Show Policy:
If you fail to show up at the designated meeting point on time, it will be considered a no-show. No refund or rescheduling will be provided for no-shows.
- Force Majeure
No refunds will be issued for cancellations caused by events beyond our control, including but not limited to:
- Natural disasters (floods, earthquakes, hurricanes)
- Acts of war, terrorism, or civil unrest
- Pandemics, epidemics, or public health emergencies
- Government actions or restrictions
In such cases, we will make reasonable efforts to reschedule your tour.
- Travel Insurance:
We strongly recommend that customers purchase travel insurance to cover unexpected cancellations and emergencies. Travel insurance can provide financial protection in case of trip interruptions, medical emergencies, or other unforeseen events.
- Changes to Payment, Cancellation and Refund Policy:
The Wildlinkk Safari reserves the right to update or modify above said Policies at any time without prior notice. Changes will be effective immediately upon posting on the website. Customers are encouraged to review this page periodically for updates.
